1.14.2025 Notice of Revisions to Bidder’s Attachments: CIVHC Data Management Vendor RFP - 24 Hour Deadline Extension

Based on bidder feedback, we would like to provide a small revision and some additional guidance on Tab 8. Staffing Worksheet and Tab 9. Cost Proposal of the Bidder’s Attachments workbook.

• The Bidder’s Attachment workbook tabs 8 & 9 have been updated to reflect the following changes (see attached):
  • Tab 8. Staffing Worksheet Total Cost formulas for Year 1: Total Cost formulas for Year 1 Jul-Dec 2025 and Year 1 Jan – Jun 2026 have been revised to reflect ½ and FTE, 1040 hours, for each 6-month period.
  • The attached revised Bidder’s Attachments worksheet for tabs 8 and 9 should replace original tabs. We have revised the color on these tabs to green so we may track which bidders have used the updated worksheets and we will be in contact with other bidders to clarify their cost proposal if needed.
• Staffing Worksheet, adding rows for additional staff: The Staffing worksheet provides the details on necessary staff and roles proposed in each area. Bidders may add rows to the Staffing Worksheet if needed to include additional staff not currently listed, but bidders are also responsible for ensuring that the subtotal fields remain accurate. Bidders are also responsible for ensuring the “Staffing” column on tab 9 Cost Proposal is in alignment with the Staffing Worksheet.
• Reporting Operational Services Across Domains: The budget for Operational Services was purposely listed separately from Domain costs as often the same staff and other operational and overhead costs apply across all domains. Please report these as separate costs, as included in the spreadsheet, to ensure cost proposals may be evaluated on the same basis.

Given this update, the deadline to submit proposals has been extended 24 hours to 5pm MT on Thursday, January 16^th.
